$60,000 - $80,000 salary

Duties
- Coordinate and implement program operations, events, and internal processes
- Manage calendars, prepare documentation, schedule meetings, and take/distribute meeting notes
- Maintain departmental filing systems, mailing lists, and office logistics
- Assist with policy implementation and process documentation
- Manage vendor relationships and communications (e.g., staffing partners)
- Coordinate with Accounts Payable to submit and track invoices, ensuring timely payment within contract terms
- Track and reconcile department budget items, audit data, and maintain accurate records for reporting
- Conduct monthly audits to track filled and vacant positions across multiple teams under departmental leadership
- Write and post job openings to the company website or portals as needed
- Screen candidates submitted via the company’s career site and route qualified applicants for onsite interviews
- Coordinate with HR to ensure new hires are fully cleared and onboarded smoothly
- Order and distribute uniforms for front-line financial clearance employees
- Plan and coordinate celebrations for employee birthdays, work anniversaries, and special team events
- Support leadership in fostering a collaborative, organized, and positive work environment
- Submit and track maintenance work orders to ensure office and workspaces remain functional
- Provide support for project logistics and operational improvements across the department
Requirements
- Coursework or certification in Business Administration, Healthcare Admin, or related field
- 3+ years of experience supporting programs or departments in a healthcare, academic, or business setting
- Strong written and verbal communication skills
- Highly organized with excellent time and task management skills
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Access)
- Confidence managing multiple stakeholders, vendors, and task priorities
- Experience with HR coordination, job postings, or recruitment workflows is a plus
